How Maple Driven Inc. (MapleDriven) handles information for the MapleDriven auto-service directory and booking platform across Canada.
Effective [HARRY: date the new terms go live, e.g. November 2, 2026]
MapleDriven is a directory and booking platform. The shop you choose is an independent business and may have its own privacy practices.
1. Information we collect
Account and contact details (name, email, phone number), vehicle details you give us, the service you ask for, your booking requests and their status, and messages you send through MapleDriven, including in the AI chat. When you sign up or sign in we record the IP address used and the approximate location it points to, to protect accounts and prevent misuse. If you allow browser location, we use it to show nearby shops; you can type a postal code instead. For shops: business details, the services, prices and hours you set, and the bookings and jobs you handle through MapleDriven.
2. How we use information
To run your account, show you relevant shops anywhere in Canada, send your request to the shop you pick (or to nearby shops when you ask the AI chat to find one), keep both sides updated on the booking, answer support requests, prevent fraud and misuse, keep the service working, and meet legal obligations.
3. The AI chat
When you use the AI chat, what you type is processed by an AI service (OpenAI) so we can understand the job, the vehicle and the time you want. A shop’s reply is read the same way, so we can tell you its answer. We don’t use your chat to advertise to you.
4. Calls and texts to a shop’s AI receptionist
Some shops use MapleDriven’s AI receptionist to answer their phone. When you call such a shop, the call is answered and processed by an AI service (OpenAI) so it can answer questions and book, move or cancel your appointment. We keep a transcript and a short summary of the call (and a recording if one is made) so the shop can see what was said and done. Texts sent to an AI receptionist number are not answered by the AI: you get one automatic reply with the shop’s phone number.
5. Messages between you and a shop
When a shop asks you a question about a request, or you answer one, we pass the message on. Phone numbers and email addresses are removed from these messages. A shop gets your phone number only once you book with that shop.
6. Missed appointments
If you book and don’t arrive, the shop can mark the booking as “didn’t show”. That note stays with the booking.
7. After your visit
After an appointment we ask you, in your account, whether you went and what you paid for the job you booked. You can also add a photo of your receipt and other work you had done, or report a problem with a booking. We use this to keep MapleDriven free for car owners, to show other car owners real price ranges (never your own receipt or amount on its own), and to keep reliable shops at the top. Receipt photos are stored privately and can only be opened by our team.
8. Records a shop keeps in its MapleDriven software
Shops can use MapleDriven’s free shop software for job cards, estimates, invoices, customer and vehicle records, reminders and texts. Those records belong to the shop: the shop decides what it keeps and how it uses it, under its own privacy duties, and MapleDriven stores them for the shop. If you are that shop’s customer, ask the shop about its records. A shop’s records are never shown to another shop.
9. SMS and mobile communications
Mobile phone numbers collected for SMS messaging are used exclusively to deliver transactional notifications, booking confirmations, appointment status updates, and customer service replies from MapleDriven (Maple Driven Inc.). Opting in to receive text messages is completely optional and is never a condition of purchase, account creation, or using our services. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes. All the above categories exclude text messaging originator opt-in data and consent; this information will not be shared with any third parties. You can cancel the SMS service at any time by replying STOP to any text message. For support, reply HELP or contact us at info@mapledriven.ca. Message and data rates may apply. Message frequency varies based on your appointments and inquiries. Our texts never contain links.
10. Shops and service providers
When you contact or book a shop, we share what that shop needs to respond and do the job. We use these service providers, and each receives only what its role needs: Twilio (calls and text messages), OpenAI (the AI chat and the AI receptionist), Cloudinary (images), Mapbox (maps and postal codes), Google (sign-in with Google, and calendars a shop chooses to connect), the U.S. NHTSA vehicle database (only the VIN, when you or a shop look one up), our email provider, our database and hosting providers, and, once card payments start, Stripe. No mobile information will be shared with third parties/affiliates for marketing/promotional purposes.
11. Messages you send us
MapleDriven is run by Maple Driven Inc. (Calgary, Alberta). When you send a message through our Contact form, it is saved in MapleDriven and a copy goes to the customer-inbox tool of Yabuh Ltd, our technology provider (app.yabuh.com), so our team can read and answer it. We use it only to reply to you.
12. Shop profiles and connected accounts
A shop profile may include public business information and information the shop gives us. If a shop connects a calendar or another account, MapleDriven uses that connection only for the feature it was connected for, within the provider’s permissions and the shop’s choices.
13. Cookies and analytics
Necessary cookies support sign-in, security and core functions. Optional analytics or marketing technologies run only when your choices and the law allow. You can also control cookies in your browser.
14. Retention and safeguards
We keep personal information only as long as reasonably needed for the purposes described here, legal requirements, dispute handling and security. Booking and billing records are kept after an account is closed, because shops and bills refer to them. We use safeguards appropriate to the information, but no online service can promise absolute security.
15. Your choices and rights
You can ask to see or correct your personal information, withdraw consent where it applies, or ask for your account to be closed. When you ask to close your account, our team reviews the request; some information is kept where the law requires it, or where it is needed to settle a booking or a bill, prevent fraud or protect legal rights.
16. Contact and changes
Privacy questions and requests: [HARRY: name or job title of the privacy contact], MapleDriven (Maple Driven Inc.), [HARRY: Maple Driven Inc. mailing address], or info@mapledriven.ca. We may update this policy when the service or the law changes; the date above shows the current version.
